WiBiz (“we”, “us”, or “our”) provides free lightweight operational utilities including WiBiz FollowUp, WiBiz Bookings, and WiBiz QuoteTrack (collectively, the “Free Tools”) at freetools.wibiz.ai. This Privacy Policy describes how we collect, use, and protect your information in compliance with the Singapore Personal Data Protection Act (PDPA) and international privacy principles.
1. What We Collect
- Account & Workspace Information: When you choose to save your workspace across devices, we collect your email address to issue secure, passwordless access links.
- Operational Data: The customer follow-up entries, appointment availability, and quotation estimates you create inside the tools to perform your daily tasks.
- Technical & Campaign Attribution: Anonymous referrer source tags (UTM source, medium, campaign) and aggregated product usage events (e.g., tool started, quote generated, booking confirmed) to measure tool effectiveness.
2. What We Never Do With Your Data
- We never sell, rent, or trade your personal data or your customers’ records.
- We never pass customer names, phone numbers, email addresses, private task notes, or quotation line items to third-party marketing or analytics networks.
- We do not bundle account creation with marketing consent. Marketing opt-in is always strictly optional and unselected by default.
3. How We Use Information
We process your data strictly to:
- Provide and persist your workspace across browsers and devices.
- Deliver service-critical functional notifications (such as sign-in links and appointment confirmation details).
- Ensure system integrity, prevent rate-limit abuse, and maintain service availability.
- Send occasional helpful automation tips or WiBiz product updates only if you have explicitly opted in. You can unsubscribe at any time via the link in any promotional email.
4. Data Retention, Export & Deletion
- Export: You can export your data at any time directly from each tool (CSV export in FollowUp and Bookings, PDF/CSV in QuoteTrack).
- Self-Service Deletion: You can permanently delete your workspace records, settings, and account data directly inside the tool settings menu with immediate effect.
- Retention: Inactive workspaces with no activity for more than 24 consecutive months are scheduled for automatic deletion.
5. Security & Hosting
Our services and databases are hosted on enterprise-grade cloud infrastructure (Railway / Amazon Web Services ap-southeast-1 region) with TLS 1.3 encryption in transit, strict database isolation, and automated security monitoring.
